you use our LIA medical interpreter assistance application (the "Service").
🏥 HIPAA Compliance: LIA is designed to assist medical interpreters and may process Protected Health Information (PHI). We implement administrative, physical, and technical safeguards to protect health information in accordance with HIPAA requirements.
By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.
If you do not agree with our policies and practices, please do not use the Service.
1. Information We Collect
1.1 Account Information
When you create an account or sign in using Google OAuth, we collect:
- Name and email address from your Google account
- Google account profile information you choose to share
- Unique account identifiers
1.2 Audio Processing and Session Data
During your use of the Service, we process and collect:
- Real-time audio processing: Audio input is processed in real-time for transcription. Audio is NOT stored or recorded - it is immediately discarded after processing
- Transcriptions: Text converted from audio for medical terminology detection (temporarily processed, not permanently stored)
- Session metadata: Session duration, timestamps, language selections
- Detected terminology: Medical terms and UMLS concepts identified during sessions
⚠️ Protected Health Information: Processed audio and transcriptions may contain PHI such as patient names, conditions, treatments, and other medical information. We process this information in real-time to provide the Service and do not retain audio recordings. All data is treated as potentially containing PHI with appropriate safeguards applied.
1.3 Usage and Technical Information
We automatically collect:
- Device information (browser type, operating system, device identifiers)
- Usage data (features accessed, interaction patterns, session frequency)
- Log data (IP addresses, access times, error logs)
- Performance metrics (latency, processing times, error rates)
1.4 Cookies and Tracking Technologies
We use cookies and similar technologies for:
- Session management and authentication
- Security and fraud prevention
- Service functionality and performance
2. How We Use Your Information
2.1 To Provide and Improve the Service
- Process audio in real-time and provide transcription
- Detect and suggest medical terminology and UMLS concepts
- Maintain your account and authenticate your identity
- Store session metadata and preferences
- Improve transcription accuracy and terminology detection through aggregated, anonymized usage patterns
- Optimize Service performance and user experience

- Respond to your inquiries and provide customer support
- Send Service-related notifications and updates

- Detect, prevent, and address technical issues

2.4 Data Processing Practices
We process audio data in real-time to provide transcription services. Audio is immediately discarded after processing and is not stored or recorded. Transcriptions are analyzed for medical terminology using proprietary technology and medical dictionaries. We retain only session metadata (duration, timestamps, language preferences) and do not use your audio data to train third-party AI models or share it for purposes unrelated to providing the Service.
3. How We Share Your Information
3.1 We Do NOT Sell Your Data
We do not sell, rent, or trade your personal information or PHI to third parties for their marketing purposes.
3.2 Service Providers
We may share information with trusted service providers who assist in operating the Service. These providers are contractually obligated to:
- Use your information only to perform services on our behalf
- Maintain confidentiality and security of your data
- Comply with applicable privacy laws and regulations
- Enter into Business Associate Agreements (BAAs) where required for HIPAA compliance
Service providers may include hosting infrastructure, database management, authentication services, and other technical services necessary to operate the Service.
3.3 Legal Requirements and Protection
We may disclose your information when required by law or to:
- Comply with legal processes (subpoenas, court orders, government requests)
- Enforce our Terms of Service and other agreements
- Protect our rights, property, safety, or that of our users or others
- Investigate and prevent fraud, security issues, or technical problems

If LIA is involved in a merger, acquisition, asset sale, or bankruptcy, your information may be

4.3 Limitations
While we strive to protect your information, no method of transmission or storage is 100% secure.
We cannot guarantee absolute security of your data.
5. Data Retention
We retain your information for as long as necessary to:
- Provide the Service and maintain your account
- Comply with legal obligations (tax, accounting, regulatory requirements)
- Resolve disputes and enforce our agreements
- Improve and develop the Service through aggregated, anonymized data
5.1 Real-Time Processing
Audio is processed in real-time and immediately discarded after transcription. We do not store or retain audio recordings. Only session metadata (timestamps, duration, language settings) is retained for account functionality.
5.2 Account Deletion
If you delete your account, we will delete your personal information within 30 days, except where retention is required by law. To request account deletion, contact us at support@liatechnologies.com.
6. Your Privacy Rights
6.1 Access and Correction
You have the right to:
- Access your personal information we hold
- Request correction of inaccurate data
- Update your account information at any time
6.2 Account and Data Deletion
You may request deletion of your account and associated data by contacting us at support@liatechnologies.com. We will process your request within 30 days.
6.3 Opt-Out Rights
You may opt out of:
- Non-essential communications (you will still receive critical Service updates)
- Certain data collection practices (may limit Service functionality)
6.4 HIPAA Rights
For PHI, you have additional rights under HIPAA, including:
- Right to an accounting of disclosures
- Right to request restrictions on use and disclosure
- Right to receive confidential communications
6.5 State-Specific Rights
Depending on your location, you may have additional rights under state laws such as the
California Consumer Privacy Act (CCPA), Virginia Consumer Data Protection Act (VCDPA),
or similar legislation. Data portability and export features are under development and will be available in a future release.

7. International Data Transfers
Your information may be transferred to and processed in countries other than your country of residence.
These countries may have data protection laws different from your jurisdiction. We ensure appropriate
safeguards are in place for international transfers.
8. Children's Privacy
The Service is not intended for individuals under 18 years of age. We do not knowingly collect
personal information from children. If you believe we have collected information from a child,
please contact us immediately.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by:
- Posting the updated policy on this page with a new effective date
- Sending an email to the address associated with your account
- Providing notice through the Service
